We’re looking for a highly organised and proactive Executive Assistant to support our General Counsel and the wider legal and compliance functionThis role requires a detail-oriented professional with excellent communication skills, the ability to manage complex schedules, and a high level of discretion. The Executive Assistant will serve as a critical link in ensuring the efficiency of the Legal team and providing seamless administrative support.  Based in Central London, our Legal team are a group of 18 dedicated professionals managing all areas of the law within a large growth focused private healthcare provider.

As an Executive Assistant to General Counsel, you will provide seamless, high level administrative support to our General Counsel and the wider legal team, ensuring the efficient operation of the department. You will manage schedules, communications, travel and administrative tasks, enabling our General Counsel and team members to focus on the provision of legal support and strategic activities to all HCA Healthcare UK businesses.

Ideally you will be working within a large commercial organisation and be used to supporting Senior Executives. You will be a great team player and able to manage conflicting priorities whilst working at pace and to tight deadlines. You will also need to have exceptional stakeholder engagement and communication skills both written and verbal.

What you’ll do:

Administrative Support:  Manage General Counsel and team calendars, including scheduling meetings, appointments, and travel arrangements. Coordinate and organise internal and external meetings, ensuring all necessary materials are prepared. Prepare and edit documents, reports, presentations, and other materials as required. Utilise various software applications to manage schedules, communications, and documentation. Troubleshoot basic technical issues and liaise with IT support as needed.

Perform additional administrative tasks as assigned by the General Counsel. Continuously seek to improve processes and increase efficiencies across the legal department.

Office Management:  Maintain and organise the General Counsel’s office environment, ensuring it is tidy and functional. Manage office supplies and equipment, coordinating maintenance and repairs as needed. Handle confidential information with discretion and maintain filing systems.

Communication: Serve as the primary point of contact between General Counsel and internal/external stakeholders. Screen and prioritise communications, ensuring urgent matters are addressed promptly.

Managing incoming and outgoing communications, including emails, phone calls, and written correspondence. Build and maintain positive relationships with internal and external stakeholders and Executives. Represent General Counsel and the wider legal team professionally in all interactions.

Travel Coordination: Arrange and manage detailed travel plans, itineraries, and agendas.

Managing travel logistics, including flight and hotel bookings, transportation, and travel-related expenses.

Meeting and Event Coordination: Plan and coordinate meetings, conferences, and events. Prepare agendas, take minutes, and follow up on action items.  Arrange catering, venue bookings, and other logistical details.

Project Management:

Assist with the planning and execution of special projects.  Conduct research, compile data, and prepare reports for executive decision-making. Track project progress and ensure deadlines are met.

What you’ll bring:

  • Previous, demonstrative experience of working as an Executive Assistant / PA within a commercially focused organisation / legal team (Ideally within Healthcare) To include Audio Typing.
  • Educated to a high standard in Maths and English, ideally you will have a recognised secretarial qualification.
  • Demonstrative ability to work at pace and to tight deadlines and flexibility, whist taking initiative. Able to work with a high level of attention to detail accuracy.
  • Demonstrative career experience taking minutes and actions during meetings.
  • Exceptional stakeholder engagement and communication skills, both written and verbal with the ability to build relationships whist maintaining a high level of professionalism in all interactions.
  • Able to work collaboratively and as part of a large high performing team.
  • A Self-motivated individual who is able to support executives efficiently and contribute to the overall success of the organisation.
  • A highly competent IT user, to include MS Word, Excel, Outlook and PowerPoint. Whilst able to pick up bespoke software packages and new technology with ease.
